Estate Services Manager
The Estate Services Manager will be responsible for leading the relationship on all Property Matters with external Landlords/Agents, it’s a big role it covers all from rent reviews to daily problem solving!
They will also lead & develop an internal team of 6 in ensuring all aspects of R&M, PPE and Costs management are effectively delivered. They will be expected to review existing contracts & negotiate new contracts providing business cases with recommendations to the Head of Property.
Communication and structure are key to this role, working in conjunction with the safety and operations team you will ensure the business is protected from a legal viewpoint and standards are delivered to meet itsus’ brand expectations on property
A summary of your responsibilities will be:
Estate Database Leadership
Rent Review Management
Rates Review Management
Service Charge Management
Reactive & Proactive landlord/Agent management, inclusive of Scaffolding/Landlord Disputes/ Air Con/ Smells & Neighbouring issues
Co-Ordinate Landlord Consents where approvals required
Manage all queries from Operations regarding landlord matters inclusive of Parking/Pests/Décor
Working closely with legal team on licensing/highway consents
Full project management of disposals
Full management of disposals & inventory
A-Board costs & processes
Attend networking events to grow itsu reputation in the sector
Pro-active & clear communication to the Head of Property weekly, on current, short, medium & longer term issues with recommendations.
Manage/Lead & develop the R&M team in a pro-active effective manner with weekly reviews.
Manage reactive jobs within a SLA (to be created and communicated to key steak holders by the Estate Services Manager)
Manage the PPM schedule for 2019. Set clear timelines of legal / H&S requirements including asbestos/PAT & airport specifics. To pro-actively eliminate risks to itsu by rigorously following the planned schedule.
Manage reactive & proactive costs within budget and clearly communicate weekly with the head of property on run rates & forthcoming risks.
Work closely with the Operations & Property team to create cost efficiencies & savings.
Build and maintain relationships with contractors to ensure service & cost reductions levels meet itsu needs
Working closely with the head of property & ensuring consistent communication on the state of the estate & recommendations to enhance within budgets
